Set up services in the Services module and use them as line items in Finance invoices so pricing and descriptions stay consistent.
Introduction
Why use services for invoicing
The Services Module lets you define reusable offerings—name, description, pricing, and optionally tax. When you create an invoice in the Finance Module, you can add a service as a line item instead of typing description and price every time. That keeps invoices consistent and speeds up billing.
You need Services and Finance (and Stripe for sending invoices) enabled for your business.
Step 1: Create a service
In the Services module
- Open the Services module from your navigation.
- Create a new service: give it a name (e.g. "Consulting hour", "Website setup"), description (optional), and pricing (e.g. per unit, currency).
- If your setup supports it, set tax or VAT for the service so invoices calculate correctly.
- Save. The service is now in your catalog and can be used on invoices.
Step 2: Add the service to an invoice
When creating an invoice
- In Finance, create a new invoice and select the customer (Individual or Organization).
- When adding line items, look for an option to add from Services or select a service. Choose the service you created.
- The line item is filled with the service name, description, and price. Adjust quantity (and price if the app allows overrides).
- Add more services or manual line items as needed, then save and send the invoice via Stripe as usual. See How to Create and Send Your First Invoice for the full flow.
Best practices
Define services for repeat offerings
Don't retype the same items on every invoice. Create a Service once and add it as a line item whenever you invoice for that offering.
Keep service names and descriptions clear
Customers should understand each line item. Use a short name and an optional description that appears on the invoice.
Check tax settings on services and invoices
Set VAT or tax on the service if your region requires it, so when you add the service to an invoice the tax is calculated correctly. Verify in the invoice before sending.
Frequently asked questions
Can I change the price when adding a service to an invoice?
That depends on the app. Some allow overriding the unit price per line item; others use the service price as-is. Check the invoice line form when adding the service.
Do I have to use Services for every line item?
No. You can mix service-based line items with manual line items (description and price entered by hand) on the same invoice. Use Services for standard offerings and manual lines for one-off items.
Can I add a service that has no price?
Services typically have a default price. If you need to quote or invoice a custom amount, you may be able to override the price when adding the service to the invoice, or add a manual line item instead.
