Troubleshoot when you cannot find a contact (Individual) or company (Organization) in global search or module lists.
Problem statement
The issue
You're looking for a specific contact (Individual) or company (Organization) but:
- Global search doesn't return them when you type their name or email
- They don't appear in the Individuals or Organizations list when you expect them to
- You created or imported them recently but they're missing from search or lists
Common scenarios
Scenario 1: Filters or view
The list is filtered (e.g. by assignee, status, or search term) so the record is hidden. Or you're viewing "My" records only.
Scenario 2: Archived or deleted
The record may be archived or soft-deleted. Some apps hide archived records by default; you may need to include "Archived" or "All" in the view.
Scenario 3: Wrong module or spelling
You may be searching in the wrong place, or the name/email is spelled differently (e.g. typo, different format).
Step-by-step checks
1. Check filters and list view
- In Individuals or Organizations, clear any search or filter (e.g. assignee, status) so you're viewing the full list.
- Look for an "Archived" or "Show all" toggle and enable it if you think the record might be archived.
- Try global search again with a partial name or email (e.g. first name or domain) in case the full string doesn't match.
2. Confirm the record exists
- If you have edit or admin access, check whether the record exists in the database by browsing the list with no filters and scrolling or paging.
- If the record was created by another user, ensure your permissions allow you to see it (e.g. you're in the same business and the list isn't restricted to "mine only").
3. Search in the right module
- Individuals and Organizations are separate. A company is an Organization; a person can be an Individual (and optionally linked to an Organization). Search in both if unsure.

Frequently asked questions
Why would a record be archived?
Records are often archived when they're no longer active (e.g. old customer, duplicate). Archiving hides them from default views but keeps data. Check your app's archive/restore options.
Does global search include archived records?
That depends on the app. Often global search only returns active records. To find archived contacts or companies, open the Individuals or Organizations list and enable "Show archived" or "All" if available.
I'm sure the record exists but I still can't find it
Clear all filters, try a partial name or email in search, and check both Individuals and Organizations (person vs company). If you have restricted permissions, you may only see "my" records—check with your administrator.
