Troubleshoot when you expect to see a teammate's tasks or contacts but they don't appear. Permissions, filters, and list scope checks.
Problem statement
The issue
You're in the same business as other users but you don't see their Tasks, Individuals, or Organizations—or you only see your own. You expect shared visibility (e.g. "all team tasks" or "all contacts") but the list is filtered or restricted.
Common scenarios
Scenario 1: List or view is filtered to "mine"
The Tasks list may default to My tasks (assigned to you). Switch to All tasks or Team tasks to see others' tasks. Similarly, contact lists may have an assignee or "owner" filter that limits what you see.
Scenario 2: Permissions or role
Your role or permissions may restrict you to your own records (e.g. only tasks assigned to you, or only contacts you created or are assigned to). Business administrators can often change this so the team sees shared lists.
Scenario 3: The other user's records are in a different scope
If your app supports multiple businesses or workspaces, ensure you're in the same one. Records created in another business won't appear in your list.
Step-by-step checks
1. Check list filters (Tasks)
- In the Tasks module, look for a filter such as Assignee, My tasks, All tasks, or Team.
- Change from My tasks (or "Assigned to me") to All tasks or Team so you see tasks assigned to other users.
- If you still don't see a specific task, confirm the other user created it in the same business and that it's not archived or deleted.
2. Check list filters (Individuals / Organizations)
- In Individuals or Organizations, look for Assignee, Owner, Created by, or All.
- Switch to All or remove the assignee filter so you see contacts that belong to or were created by other users.
- If your role only allows "own" records, ask your business administrator to adjust permissions so you can see team contacts.
3. Confirm you're in the same business
- Check the business or workspace selector (if your app has one). You and your teammate must be in the same business for shared data to appear.
- If the other user was invited but hasn't joined yet, see Invite Link Expired or Can't Join Business.

Frequently asked questions
Why would I only see my own tasks?
Many CRMs default to "My tasks" so you focus on what's assigned to you. Switch the filter to "All" or "Team" to see others' tasks. If there is no such option, your permissions may restrict you to your own; ask your administrator.
Can I see tasks or contacts from another business?
No. Tasks and contacts are scoped to a business. Switch business (if you have access to more than one) to see that business's data. See Module Access Denied for permission issues.
