Add a person as an Individual and optionally link them to an Organization so you have one place for contacts and companies. Foundation for deals, invoices, and support.
Introduction
Why contacts and companies matter
Every deal, invoice, and support ticket is tied to a customer—a person or a company. In Piraja you store people as Individuals and companies as Organizations. When you link an Individual to an Organization, you see the full context: who works where, and all activity in one place.
Adding your first contact (and optionally their company) is the first step before creating your first invoice, first deal, or first support ticket.
Step 1: Add a person (Individual)
In the Individuals module
- Open the Individuals module from your navigation or sidebar.
- Choose Create or Add individual (or the equivalent).
- Enter at least first name and last name. Add email and phone if you have them—email is used to match incoming emails when you use Mailbox.
- Save. The person is now in your CRM as an Individual.
Optional fields
- Organization: If the person works at a company, you can link them to an Organization in this step (see below) or add the link later.
- Job title, notes, and other fields help with context when you open the contact later.
Step 2: Add a company (Organization) if needed
When to add an Organization
If you sell B2B or need to group contacts by company, add the company as an Organization first (or in parallel). Then link the Individual to that Organization.
How to create an Organization
- Open the Organizations module.
- Choose Create or Add organization.
- Enter name, and optionally email (e.g. info@company.com), phone, website, and address.
- Save. The company is now in your CRM.
Step 3: Link the contact to the company
Link Individual to Organization
- Open the Individual you created.
- Find the Organization or Company field (or "Link to organization").
- Select the Organization you created (or search for it). Save.
- The Individual is now linked to that Organization. When you open the Organization you can see linked people; when you open the Individual you see which company they belong to.
One person, one company
Typically an Individual is linked to one primary Organization. If your app supports multiple links or roles, check the Individual form for options.
Using contacts after creation
From contact to deal or invoice
- When you create an Opportunity or Invoice, select this Individual or Organization as the customer. All activity stays on their record.
- Use Tasks and Notes on the contact or company so follow-ups and context are in one place.
Finding contacts
Use global search or the Individuals/Organizations list with filters to find contacts quickly.
Best practices
Use correct email addresses
So Mailbox can match incoming emails to the right contact. Update email when a contact changes address.
Link people to companies when you sell B2B
So you see all contacts at an account and can track deals and invoices per company. See How to Manage B2B Contacts and Companies for more.
One record per person or company
Avoid duplicates: search before creating. If you're not sure, use Search in the CRM; see Contact or Company Not Found in Search if you expect a record but can't find it.
Frequently asked questions
Do I have to add an Organization for every contact?
No. If you only work with individuals (e.g. freelancers, consumers), you can use Individuals only. Add Organizations when you need to group people by company.
Can I link an Individual to more than one Organization?
That depends on the app. Often an Individual has one primary Organization; check the Individual form for multiple links or roles if your workflow needs it.
What if I can't find a contact I just added?
Check filters and list view (e.g. "Archived" or "All"). See Contact or Company Not Found in Search.
Who can I contact for help?
Contact support at support@piraja.io.
Conclusion
Add your first contact in the Individuals module and, for B2B, add the company in Organizations and link the person to it. That gives you a single place for who you work with and sets you up for deals, invoices, and support.
